Registration Procedure

Access

  1. Use OIST Shutle Bus (Seragaki Line / But stop: Onna Village Office)
     
  2. Use local bus (Map) *Bus comes every minutes.

    Bus number: Okinawa bus/沖縄バス [#20] or Ryukyu bus/琉球バス [#120]
    Bus stop names:
    Departure: Daigakuin Daigaku Mae/大学院大学前
    Destination: Onna-son Yakuba Mae/恩納村役場前

 

Step1: Resident Registration

  1. Please get the form from GS counter/municipal office and fill out as sample below.
  2. Submit to counter #1 at municipal office. (*If you have residency other than Onna village in Japan,
          "Certificate of Deregistration/転出証明書" from your previous residential municipality is requried.)
  3. (For PhD/SRS) Make sure your "My Number (Japanese social security number) " is written in Certificate of Residence.

  • Application form for Certificate of Residence/住民票交付申請書 (SAMPLE)

 

Step2: National Pension Registration

  1. Please get the form from GS counter/municipal office and fill out as sample below.
  2. Submit to counter #1 at municipal office.
  • Application form for National Pension/国民年金被保険者関係届書 (SAMPLE) 
  • Ticket of acceptance of application form for National Pension/年金相談受付票 (SAMPLE)

If you apply for National Pension Exemption... 

  • General Exemption [SAMPLE] (PhD/SRS/VRS/RI)  
    (For PhD) You will need to apply General Exemption first for the period between entry date and your enrollment start date.
     e.g. Arrived in Japan in Aug 15, enrolled in Sep 1. 
     >General exemption for Aug 15-31 
    >Student exemption for after Sep 1

  • Student Exemption [SAMPLE] (PhD)   
    AFTER your enrollment starts, you can start applying for Student Exemption.

 

Step3: National Health Insurance Registration

  1. Please get the form from GS counter/municipal office and fill out as sample below.
  2. Submit to counter #3 at municipal office.
  3. Obtain a National health insurance card.
    *You can pay the national health insurance fee at municipal office on the day, or pay by payslips at convenience store or bank later (by due date).
    *You can set up the automatic payment from your bank account if you have a Japanese bank account.

Step4: Submit documents to Student Affairs Section

Please submit documents below to Student Affairs Section or send them via [For PhD / For NON-PhD Students] (Instruction)

~PhD/SRS~

  • Certificate of Residence *Make sure your "My Number (Japanese social security number) " is written.
  • Residence card (both front/back)
  • (Later) Pension number: You will get notification letter from Pension Office with pension number.

~VRS/RI~

  • Residence card (both front/back)
  • Passport

 


When you move into a new place, your registered address at the Municipal office should be changed accordingly.
Below are the common documents that you will be dealing with. And also the documents needs to be submitted to Student Affairs Section.

1-A. Move within Onna village.

Please go to the Onna village office to change your address within 14 days after you have moved.

◆What to bring◆
Required items from 1-5 listed above

After your new address has been registered,

  1. Please submit a copy of the Certificate of Residence(住民票) and your updated Residence Card (front & back) to the Student Affairs Section via GigaCC. [Instructions]
  2. Once you have sent them via GigaCC, please contact Student Support Team at gs-support@oist.jp.

* If you have Japanese nationality, just send us the Certificate of Residence.

Afterward, please apply for a mail transfer service at the Post office, and also change the address of your Bank account, Driver's license, Car registration, Credit card, and so on.

1-B. Move to other Village/Town/City

(1) De-register at Onna village office

They will accept your application 14 days before your moving-out date.
A Notification of moving out(転出届)will be issued.

(2) Re-register at the Municipal office where you are moving in.

For details: How to Re-register at the Municipal office

You need to be registered again within 14 days after you have moved in.

  1. Please submit a copy of the Certificte of Residence (住民票) and your updated Residence card (front and back) to the Student Affiars Section via GigaCC. [Instructions]
     
  2. Once you have sent them by GigaCC, please contact Student Support Team at gs-support@oist.jp.

* If you have Japanese nationality, just send us the Certificate of Residence.

Afterward, please apply for a mail transfer service at the Post Office, and also change the address of your Bank account, Driver's license, Car registration, Credit card, and so on.

2. Commuting Allowance

If you changed your address outside of the campus and commute by your car, commuting allowance may be paid.
(For more details, please check “1.4 Commuting Allowance” from Student Support Policies)

To receive a commuting allowance,

  1. Submit a "Commuting Notification Form"to gs-finance@oist.jp with an official document (Certificate of Residence/Residence card with new address) via GigaCC.[Instruction]
  2. Please return your shuttle bus pass.
  3. The allowance will be paid from the month you submitted. (It depends on the timing when you start getting the allowance.)

※If there are any special reasons for the late submission, please contact gs-finance@oist.jp in advance.

Please follow their instruction.
