Verification Policy and Procedures

The Registrar Section in the OIST Graduate University must obtain the verification of completion or enrollment of degree program(s) directly from the university you graduated from / you are currently enrolled, aside from the certificates that you have already uploaded to the application website. We request for all applicant's cooperation as part of our efforts to address recent issues related to Diploma / Degree mills. Any additional costs to obtain the verification will be covered by the applicant. Those who apply for admission into the OIST PhD program should submit proof of their educational background BEFORE any further arrangements are made.

We need to confirm the application’s educational background by the following ways:

1. Required documents (both):

  • Certificate of Degree Conferral (from the latest University you graduated from) / Certificate of Expected Graduation (if you are currently enrolled）
  • Academic Transcript

2. Language of required documents:

  • English
  • If the documents are not provided in English, please have the original document translated into English and provide the full name of the translator. Additionally, please provide the reason why the original documents in English cannot be provided.

3. How to submit:

  • In case of via Email:
    • Format: attaching required documents by PDF format / the URL which stores the required documents
    • Where to submit: Registrar Section

Please ask the university you graduated / will graduate to send the required documents directly to the gs-registrar@oist.jp. The applicant needs to submit the contact information of the relevant office / section in the university for further verification of their educational background.

  • In case of via Airmail:
    • Format: Paper
    • Where to submit: Registrar Section
