Your Visa Information

​*This information is for those who have been accepted as RIs in the Complexity Science and Evolution Unit at OIST.

If you are an international student, you may have to apply for a visa, and OIST will help you to prepare for your visa.

Please select the relevant category from the three categories below and check the information.

A. You will stay in Japan for more than 90 days

B. You will stay in Japan for less than 90 days, and your country or region is NOT listed on the list of the Ministry of Foreign Affairs of Japan

C. You will stay in Japan for less than 90 days, and your country or region is listed on the list of the Ministry of Foreign Affairs of Japan

 

A. You will stay in Japan for more than 90 days

Ⅰ. Complete and submit the Certificate of Eligibility (CoE) application form 

  1. Download the CoE application form and complete it [DOWNLOAD

    .
  2. Send the following documents to OIST by uploading them HERE. [Instruction]
       
         ・Completed CoE application form (please submit it as an excel document)
         ・Digital photo for the CoE application (please check HERE for the photo requirements)
         ・Digital scan of your passport (please scan the photo page)
         
         *Please name your files as indicated below before when you upload them:
          ・CoE application form_your Given name/FAMILY NAME
          ・photo_your Given name/FAMILY NAME
          ・passport_your Given name/FAMILY NAME
     
  3. OIST will submit the CoE application form to the Immigration Bureau in Japan. A CoE normally takes a month to three months to be issued.

II. Apply for your Cultural Activities Visa at your nearest Japanese Embassy/Consulate 

  1. Check the visa application procedure and required documents with the Japanese Embassy/Consulate where you intend to apply and prepare the Visa application form [Sample] and other documents as necessary.
    Required documents may vary depending on the country or region.
     
  2. Receive a package from OIST's Complexity Science and Evolution Unit.

    Currently, registration with the  Entrants and Returnees Follow-up System (ERFS) is required in addition to the CoE to prevent the spread of COVID-19. OIST will register you in the government system and send you the Certification for completion of registration to ERFS by email.

    If your current CoE has been expired, OIST will send you a CoE declaration [Sample]
    New policy regarding the period of validity of the certificate of eligibility.
    Please contact RUA if your current CoE expired.
     
  3. Go to the nearest Japanese Embassy/Consulate and apply for your visa (Category: Cultural Activity). Please apply for your visa immediately after you receive your package.

    The documents required may vary depending on the country or region, however, the standard required documents are listed below.
       ・Passport
       ・CoE
       ・Visa Application form [Sample]
       ・Certification for completion of registration to ERFS
       ・Confirmation
       ・CoE declaration (If your current CoE has expired)
     
  4. After successfully obtaining your visa, send a scanned copy of your visa to OIST by uploading it HERE [Instruction]
    Please name your file as "visa_your Given name/FAMILY NAME" before you upload it.

B. You will stay in Japan for less than 90 days, and your country or region is NOT listed on the list of the Ministry of Foreign Affairs of Japan

  1. Please send a copy of your passport photo page to OIST by uploading it HERE. [Instruction]
    Please name your files as "passport_your Given name/FAMILY NAME"
     
  2. OIST will prepare a visa document package for your visa application and send them to you via airmail.
     
  3. Receive a package with the enclosed CoE from OIST's Complexity Science and Evolution Unit.
     
  4. Go to the nearest Japanese Embassy/Consulate and apply for your short-term stay visa. 
    Please bring a printed OIST Offer letter and a signed Agreement.
    Please apply for the visa immediately after you receive your package.
     
  5. After successfully obtaining your visa, send a scanned copy of your visa to OIST by uploading it HERE. [Instruction]
    Please name each file as "visa_your Given name/FAMILY NAME"

C. You will stay in Japan for less than 90 days, and your country or region is listed on the list of the Ministry of Foreign Affairs of Japan

You will not need a special visa to enter Japan.

  1. Please send a copy of your passport photo page to OIST by uploading it HERE. [Instruction]
    Please name your files as "passport_your Given name/FAMILY NAME"
     
  2. OIST will start the travel arrangement about one month prior to your arrival.
