Urgent Notice on the Postponement of the ISSED

 

Dear participants,

International Symposium on Sustainable Energy and Development 2020 (ISSED 2020) was originally scheduled to be held on February 24 to 28, 2020 at Okinawa Institute of Science and Technology Graduate University (OIST), Japan. 

Due to the current outbreak of novel coronavirus (2019-nCoV), the symposium organizing committee has decided to postpone the ISSED 2020.

The new symposium dates are currently under discussion, and are most likely after this summer. We will inform you as soon as the new dates are determined.

We thank you all for taking time to submit abstract and all travel information. We are very sorry to announce this news and any inconvenience that is caused. For those of you who have contacted us regarding this matter, we thank you much for your patience. 

1.     I've already paid my flight and hotel. What should I do?

The organizing committee will refund cancellation fee. Please cancel it by Sunday, February 16th Once you have cancelled your flight/hotel, please send receipts to our travel agent. We require both your original booking receipt and cancellation receipt. 

If your ticket is not refundable, please send the ticket information to our travel agent as well.

2.     What should I do with my visa application?
 

I've not submitted the visa to my local Japanese consulate yet

If you have received supporting documents from OIST via EMS, but have not submitted them to your local Japanese consulate, OIST will need to retrieve them from you because they have our official seal on one of the documents. Please send them back to us by post.  *tracking not required.

I've already received my visa/I've applied the visa but haven't received it yet

Please contact a Japanese consulate where you applied the visa and notify your trip has been canceled. We have checked Ministry of Foreign Affairs and they informed us that not notifying cancellation of a trip may affect your future trip to Japan. Please contact your local consulate so that you won't have trouble when you apply for a Japanese visa in the future.

Even if you haven't received the visa and still waiting to be issued, please contact your local consulate to notify that your trip to Japan has been cancelled.
