Equipment Booking System (REServe)

  • REServe, who are the users of this tool?
    • OIST employees and students. All contents are intended only for internal use with discretion. Please bear in mind that some of the information is sensitive. All users are requested to follow the rules and instructions from the equipment administrators.


  • What can I do with REServe?
    • You can create new bookings for research equipment and services, and make any changes to previous entries.


  • What equipment is available for whom to book?
    • “Common” and “Shared” equipment are available for all users, and “Individual” equipment is available only for members of the assigned unit(s)/section(s). If the booking function for a piece of equipment is activated in RED (research equipment database) by the responsible equipment administrator, it appears on REServe. Bookings are either authorized or merely monitored by the responsible equipment administrators.

 Research Equipment Database (RED)

  • RED, who are the users of this database?
    • OIST employees and students. All contents are intended only for internal use with discretion. Please bear in mind that some of the information is sensitive.


  • What information is available for equipment users?
    • Existence, availability, access, contact, specifications, safety and support information.


  • What information is available for equipment administrators?
    • Utilization status, maintenance history and costs, and consumables information, in addition to user-accessible information.


  • Who is the equipment administrator?
    • The designated support section, the host unit, and the user unit/section are the responsible administrators of “common” equipment, “shared” equipment, and “individual” equipment, respectively.


  • Who is responsible for the input/update of equipment information?
    • The administrator of the equipment as defined above is primarily responsible, with cooperation from relevant support sections.


  • What equipment should be included in RED?
    • All major research equipment at OIST or belonging to OIST, regardless of its application field or sharing status (including equipment for individual use or equipment purchased by external funding). If a piece of equipment requires management, it should be considered as a major one.
