If you decide not to opt in or do not match with anyone on the platform, allocation in rooms will be based on random assignment: i.e. incoming students will be assigned to vacant rooms in partly filled apartments, and current students with vacancies in their apartments may receive incoming students. If provided, a few basic criteria will be taken into account before random assignment (gender, allergies, pet preferences and basic sociability). If you do not compile the basic criteria, GS will provide information to HMS on your gender only to proceed to the assignment.
If you decide to fill in the form, it is up to you how much and what to fill in (except for full name). Share only what you are comfortable with. Nonetheless, bear in mind that the more complete you will be in filling in your info, the more likely it will be for you to find a suitable match. We especially suggest spending a little extra time filling in the self-description box, as it makes easier to find like-minded people. You will likely appreciate others doing it.
The content of your profile will not be vetted by HMS or GS or any other party. Please, maintain a respectful environment in your comments by keeping in mind that OIST is a multicultural and diverse institution (Refer to OIST Graduate University Respectful Workplace Policy). Remember that you will be fully responsible for all what you decide to include. By filling and uploading the form you consent to share the information you provide with the following parties:
- Housing Management Section (HMS) of OIST
- Graduate School (GS) of OIST
- Current students with vacancies in their apartment
- Incoming students looking for rooms
This profile will only be used for the purpose of this matching service. It will not be used for any other purpose. Your data will be deleted after the process is concluded.

Terms of Use
This Terms of Use sets forth the terms and conditions of use for "OIST student roommate matching service" (the "Service"). All users (hereinafter referred to as "User/Users") are required to use the Service in accordance with this Agreement. (hereinafter referred to as the "Agreement").
Article 1 (Application)
- These Terms of Use shall apply to all relations between the User and OIST and the User with respect to the use of the Service.
- In addition to these Terms of Use, OIST may establish rules and regulations for the use of the Service (hereinafter referred to as the "Individual Rules").
- In the event that the provisions of this Agreement contradict the provisions of the Individual Rules of the preceding article, the provisions of the Individual Rules shall take precedence unless otherwise specified in the Individual Rules.
Article 2 (Registration)
Registration for the Service shall be completed when the applicant agrees to these Terms and Conditions, applies for registration in the manner prescribed by OIST, and OIST approves the application.
Article 3 (Management of User ID and Password)
- The User shall, at its own responsibility, properly manage its user ID and password for the Service.
- In no event shall a user transfer or lend his/her user ID and password to a third party or share them with a third party. OIST considers any login with a combination of user ID and password that matches the registered information to be use by the User who has registered the user ID.
- OIST shall not be liable for any damage caused by the use of a user ID and password by a third party, except in cases where OIST has been intentionally or grossly negligent.
Article 4 (Usage Fees and Payment Method)
There is no charge for the use of this service. However, the User is responsible for paying for the use of Internet facilities for viewing.
Article 5 (Prohibited Matters)
Users shall not engage in any of the following acts when using the Service:
- Acts that violate laws or public order and morals.
- Acts related to criminal acts.
- Acts that cause disadvantage, damage, or discomfort to other Users of this Service or other third parties.
- Acts of collecting or accumulating personal information about other Users.
- Infringement of copyrights, trademarks, or other intellectual property rights contained in this Service, including its content.
- Destroying or interfering with the Server or network functions of OIST, other Users, or other third parties.
- Use of information obtained from the Service for any other purpose
- Acts that may interfere with the operation of the OIST services.
- Unauthorized access or attempts to do so.
- Using the Service for any unauthorized purpose.
- Impersonating another User.
- Promoting, advertising, soliciting or conducting business on the Service that is not authorized by OIST.
- Acts that share the information on the service to non-members.
- Directly or indirectly providing benefits to antisocial forces in connection with OIST's services.
- Any other activities that OIST deems inappropriate.
Article 6 (Restriction of Use and Cancellation of Registration)
- OIST reserves the right to restrict the use of all or part of the Service or to terminate a User's registration without prior notice if the User falls under any of the following conditions:
(1) In the event that the User violates any of the provisions of this Agreement.
(2) If it is found that there is any falsehood in the registered information
(3) If the User does not respond to OIST's communications for a certain period of time.
(4) If the User does not use the Service for a certain period of time after the last use
(5) If OIST deems the use of the Service to be inappropriate for any other reason. - OIST shall not be liable for any damages incurred by the User as a result of any action taken by OIST under this Article.
Article 7 (Withdrawal from the Service)
Users may withdraw from the Service by following the withdrawal procedures specified by OIST.
Article 8 (Disclaimer of Warranties and Disclaimers)
- OIST assumes no responsibility for any transactions, communications, or disputes that may arise between the User and other Users or third parties with respect to the Service.
- OIST does not warrant or represent, expressly or implicitly, that the Service is free from defects in fact or in law (including defects in safety, reliability, accuracy, completeness, effectiveness, fitness for a particular purpose, security, errors or bugs, infringement of rights, etc.).
- OIST shall not be liable for any damage incurred by Users arising from this service.
- Even in the case of the proviso in the preceding paragraph, OIST shall not be liable for any damages caused to the User as a result of default or tort due to negligence on the part of OIST (excluding gross negligence), or for damages arising from special circumstances (including cases where OIST or the User foresaw or could have foreseen the occurrence of the damage).
Article 9 (Changes to Service Content, etc.)
OIST reserves the right to change the contents of the Service or discontinue the Service at any time without notice to the User and shall not be liable for any damages incurred by the User as a result of such changes.
Article 10 (Changes to the Terms of Use)
OIST reserves the right to change these Terms and Conditions at any time when it deems it necessary. However, in the event that OIST modifies these Terms and Conditions after the user has accepted them, OIST will again request that the user accept the modified Terms and Conditions.
Article 11 (Handling of Personal Information)
OIST shall handle personal information obtained through the use of the Service in an appropriate manner in accordance with the OIST Privacy Policy.
Article 12 (Notification or Communication)
Any notice or communication between the User and OIST shall be given in the manner prescribed by OIST. Unless the User requests a change in the manner prescribed by OIST, OIST shall assume that the currently registered contact information is valid and shall send notice or communication to that address. These notifications and communications shall be deemed to have reached the user at the time they are sent.
Article 13 (Prohibition of Assignment of Rights and Obligations)
The User may not assign or pledge to a third party its position or any rights or obligations under these Terms of Use without the prior written consent of OIST.
Article 14 (Governing Law and Jurisdiction)
- These Terms of Use shall be governed by and construed in accordance with the laws of Japan.
- Any disputes arising in connection with the Service shall be subject to the exclusive jurisdiction of the court having jurisdiction over the location of OIST's head office.
