No. Collaboration with an OIST researcher is not required. Participation by OIST researchers is voluntary and subject to mutual agreement. Selection does not automatically guarantee access to OIST Research Units, Core Facilities, facilities, equipment, data, or other resources; separate review and approval may be required.

Q6Is a Validation Partner required?Validation Partner

A Validation Partner will generally be expected. A partner may be a company, public-sector organization, university, research institution, nonprofit organization, industry association, or other entity that can contribute meaningfully to the validation. The partner does not need to be fully confirmed at the time of application, but applicants should identify the candidate organization, expected role, connection to a real-world use case, and expected confirmation timeline. For selected projects, an appropriate Validation Partner will normally need to be confirmed before implementation, unless OIST waives this requirement because the validation does not reasonably require an external partner.

Q7Must the validation take place on the OIST campus?

No. Validation may take place on or off the OIST campus. Applicants are generally responsible for securing an appropriate validation site. OIST may support coordination or introductions where relevant, but selection does not guarantee provision of a validation site by OIST. Q22How will contracting and payment be handled after selection?

After selection, applicants will proceed to confirmation of project scope, budget, roles, schedule, deliverables, risk controls, and applicable contractual terms. The contracting and payment arrangement will be determined based on the approved project scope and applicable OIST contracting, procurement, finance, tax, and administrative procedures. Payment terms will be set out in the applicable project agreement and will generally follow confirmation of agreed deliverables, although partial or milestone-based payments may be arranged where appropriate. Selection does not itself guarantee execution of a contract or payment.

Q23Can project implementation begin before the agreement is executed?

No. Project implementation may begin only after the applicable agreement and required approvals are in place. Costs incurred before execution of the applicable project agreement are not normally eligible unless expressly approved by OIST in writing in advance.

Q24Who owns intellectual property generated through the project?

Intellectual property created solely by the applicant through the Program will, in principle, remain with the applicant. Background IP remains with the respective owner. Where IP is jointly created or arises through substantive collaboration with an OIST Research Unit, ownership and use will be determined under the applicable agreement or separately agreed terms.

Q25How may project results and data be used or disclosed?

OIST may access and use agreed project results, data, and submitted deliverables for program evaluation, internal review, reporting, and program improvement. Academic research use will be subject to separate agreement. OIST may also disclose non-confidential project information and results for reporting, institutional communication, and public outreach, and may publicly identify selected applicants, project titles, non-confidential project summaries, and Validation Partners. Applicants will have an opportunity to review proposed disclosures and identify legitimate confidential or commercially sensitive information.

Q26How is confidential information in an application handled?

Applicants should provide sufficient non-confidential information for evaluation and should not normally include highly sensitive confidential information, source code, detailed proprietary designs, or unpublished patent details unless specifically requested later. Application information may be shared with relevant OIST personnel for eligibility review, evaluation, scoping, and program administration; appropriate confidentiality measures will be applied where external advisors are involved. OIST will not normally enter into an NDA solely for the purpose of submitting an application.

Q27May applicants or Validation Partners use the OIST name or logo?OIST

Any external use of the OIST name, logo, or other OIST branding by an applicant or Validation Partner requires prior OIST approval, including factual references to selection or participation in the Program. Public communications referring to OIST, including press releases, websites, social media, investor materials, presentations, or event materials, must be submitted to OIST for prior review and approval.

Implementation and Completion

Q28How soon can a selected project begin?

Selected applicants will generally be expected to complete project scoping and contractual arrangements within one to two weeks after notification of selection. The actual time required may vary by project, and selection does not guarantee project commencement. Implementation may begin only after the applicable agreement and required approvals are in place.

Q29Can the project scope, budget, partners, or other arrangements be changed after selection?

Minor adjustments may be accepted where reasonable and consistent with the agreed project objectives. Material changes require prior OIST approval, including changes to project scope or deliverables, major budget composition, major subcontracting, Validation Partners, validation sites or partner roles, data-access arrangements, or the Project Lead or other key personnel where implementation capability may be affected.

Q30How are safety, insurance, liability, and potential damages handled?

Selection is not a safety approval or authorization to commence activities. Selected applicants are responsible for conducting project activities safely and complying with applicable requirements, and appropriate insurance may be required depending on the project. Responsibility for loss, damage, accidents, and third-party claims will be addressed in the applicable agreement, with project-related risks generally borne by the applicant to the extent permitted by law.

Q31When must the project be completed?

For FY2026 projects, all validation activities, final deliverables, and OIST review and acceptance must be completed by the end of March 2027. Extensions into the following fiscal year will not normally be permitted. Applicants should schedule validation activities early enough to allow sufficient time for final reporting and OIST review before fiscal-year end.

Q32Does selection guarantee future collaboration with OIST?

No. Selection does not guarantee future research collaboration, procurement, investment, business partnership, or continued access to OIST facilities or resources. Depending on the validation results, OIST and the applicant may consider possible next steps such as further technical development, collaborative research, business collaboration, deployment, or external funding.
